DEPOSITS
Deposit is requested at 30% of the tour’s total and may be made by transfer or credit card (Visa or Master Card) and this money will be held in a Trust Account as required by the VIETCOMBANK and by the VIETNAM ADMINISTRATION OF TOURISM, the final payments will be settled up at 45 days prior to starting date of the trip, at which time the balance of the trip must be made immediately upon our last confirmation. If for any season the balance is not paid in full by the due date, we reserve the right to treat your booking as cancelled without any refund of sums already paid to Trekindochina travel and without prior notice.
PAYMENT
After the agreement with Trekindochina Travel , on tour prices, detailed itinerary and all special requests have been done, the client/agent will be asking for the implementation of payment through telegraphic transfer, internet transfer, traveler’s cheques or combination, except for cash payment. Bank fee charge may apply at 2, 75% for Master or Visa Cards and 4% for American Express to clients’ account and payment must be completed at 45 days prior to your tour departure day.

TRAVEL INSURANCE
To travel around Asia we highly recommended that participants have travel insurance for protection against loss, cancellation, medical or other emergency.
TRAVEL DOCUMENTS
In case visas are required, Trekindochina travel would be delighted to help you organizing the visas (free Service). Please note however, that Trekindochina Travel can not be held responsible for information on visa regulations, or in case visas are not obtained or visas are not accepted by local authorities.
It is the Tour member responsibility to ensure that they have valid passports and visas, where necessary. Also should expect to receive itineraries, tickets, and hotel or service vouchers from Trekindochina Travel at least two weeks prior to departure.
HOTEL CHECK IN- CHECK OUT TIME
Hotel Check in - Check out time is usually 12.00 A.M
Extended check in - check out time may be granted subject to availability and agreement by the participating hotels.
POLICY REGARDING CANCELLATION / NO SHOW / EARLY DEPARTURE
In case of Special Train Journey and peak season hotel bookings a separate cancellation policy is applicable (which would be advised as and when required).
Trekindochina travel must be informed in writing, either by Fax or by letter. All cancellations will be subject to a $100 per person processing fee to offset the costs of handling the reservation. In addition to the $100 cancellation fee, the cancellation charges would apply in respect to the date of departure as follows:
* At 30 days before trip departure - 10% of the total tour / service cost
* From 16 days to 29 days - 35% of the total tour / service cost
* From 4 days to 15 days - 60% of the total tour / service cost
* From 03 days (72 hrs) to departure - 100% of the total tour / service cost
REFUNDS
Refunds and their method will be affected as agreed between you and Trekindochina travel for unused services, and timely cancellations. The service charge of the refund will be based on the bank fee of transaction. As a matter of course, after commencement of travel, no refund in full or in part will be given for services included in the itinerary, which are not utilized, and all refunds to the client will be processed within 30 days of receipt of your trip cancellation.
RESPONSIBILITY
Except in situations beyond human control, Trekindochina travel will be held responsible for any additional expense resulting from the change caused by us in itinerary, transportation, accommodation and meals.
Except in situations beyond human control, Trekindochina travel shall provide compensatory service for participants or refund the difference in payment for service rendered below standard.
The detailed program and schedule flights are subject to changes by airline without prior notice and in accordance with the weather conditions and daily operation of flights. Consequently, itinerary concerned might be adjusted. If this occurs, Trekindochina travel will do all in its power to assist participants in boarding flights or finding alternative arrangements. Note however that it is done as a courtesy to participants and Trekindochina travel can not be held responsible for denied boarding, nor for additional costs occurred.
